How to Use AI to Improve Business Productivity: From Individual Tasks to Company Metrics, in 3 Layers
By Pedro Sonda, dooop
To use AI to improve company productivity, work across three layers: tasks (people using AI, with judgment, in activities where it helps), processes (workflows redesigned to leverage AI end-to-end), and company (cost, deadline, volume, and quality indicators that change, and the ability to repeat the gain). Explicitly decide the destination of the time freed. AI already increases individual productivity in many tasks; without process redesign and without a destination for the time, this gain disperses and does not show up in company metrics.

What Research Shows
| Study | Result | Source |
|---|---|---|
| 5,179 customer service agents with AI assistant | 14% higher productivity on average and 34% higher among less experienced agents | Brynjolfsson, Li and Raymond, NBER, 2023 |
| 453 professionals in writing tasks | 40% less time and 18% higher evaluated quality; factual accuracy not evaluated | MIT News, 2023 |
| 758 consultants | Gains in tasks within AI's "frontier"; 19 percentage points fewer correct answers in tasks outside it | Dell'Acqua et al., 2023 |
| Global survey of organizations | 80% report individual productivity gains; 37% attribute impact on EBIT | McKinsey, 2026 |
| Employee survey | In AI-relevant roles, average saving of 1.5 hours per day; only 7% of organizations guide how to use freed time | Gartner, 2025 |
| Global worker survey | 80% say they do not have enough time or energy to do their work | Microsoft, 2025 |
Interpretation: The gain per task is real and documented but uneven across tasks and people. The gap between individual gain and company results lies in the lack of redesign and destination for the time.
dooop Framework: The 3 Layers
| Layer | What to Do | Typical Indicator |
|---|---|---|
| 1. Tasks | Define which tasks each role uses AI for; train verification; approved tools | Time per task; quality in samples |
| 2. Processes | Redesign end-to-end workflows: eliminate steps, change who does what, move reviews | Cycle time; rework; volume per person |
| 3. Company | Link redesigned processes to business indicators; reuse what worked | Cost per unit; customer lead time; margin |
Why Layer 2 Decides
If an analyst drafts a report in half the time but the report still waits for three approvals, the customer deadline does not change. Business productivity comes from looking at the entire flow. To identify where to start, see How to Identify Repetitive Tasks That Can Use AI and How to Use AI to Reduce Rework.
The Rule of Time Destination
| Possible Destination | Generic Example |
|---|---|
| More volume | Serve more customers with the same team |
| Higher quality | More careful reviews; more consultative service |
| New activities | Improvement projects; data analysis; relationship building |
| Less overtime or third parties | Reduce overload |
The destination should be decided by the manager with the team and communicated. Without a decision, the time tends to be absorbed by lower-value tasks.

What to Do Now
- Choose a process where many people already use AI individually.
- Map the entire flow and identify where time is really lost.
- Redesign with the team and decide the destination of the freed time.

Frequently Asked Questions
Does productivity with AI mean reducing headcount? Not necessarily. McKinsey recorded that 14% of organizations saw headcount reduction due to AI, compared to 32% that expected it. Many use the gain to grow or improve quality.
Do productivity gains appear for everyone? Not equally. Studies show greater gains for less experienced professionals in some tasks, and losses in tasks outside AI's strengths.
